Salbar Fysiotherapie practice rules

Welcome to Salbar. These arrangements help keep your treatment comfortable, clear and carefully organised.

Useful to know beforehand

Here you can find our arrangements for your visit, reimbursement, payments and patient rights. Have questions? Please feel free to contact us before your treatment begins.

Insurance and reimbursement

For adults, physiotherapy is usually not covered by basic health insurance. Different rules apply to certain conditions and to children. Your entitlement to reimbursement depends, among other things, on your age, medical indication and policy conditions.

Do you have supplementary insurance? Check in advance how many treatments are covered and how many you have remaining. Treatments at other practices may also count. You are responsible for checking your coverage and providing correct insurance details. If you are unsure, we are happy to help you consider your options; your insurer can confirm your reimbursement.

Are your treatments not covered, or no longer covered? You will be responsible for the costs. You will usually receive an invoice. Depending on the arrangements with your insurer, they may pay the practice first and subsequently charge you for the treatment.

Invoices and self-funded payment

Invoices are handled through the billing administration of Salbar Fysiotherapie. Have a question about an invoice or insurance claim? Please feel free to contact us via[email protected]. When asking about an invoice, please include your invoice number if possible.

Online consultations: confirmation and deposit

You request an online consultation via WhatsApp or email, and it takes place via Zoom or Google Meet. Salbar confirms the time, duration and cost in advance. You receive a payment link for the deposit. The appointment is confirmed once you have received our confirmation and the deposit has been paid. The deposit must be paid before the online consultation and is deducted from the consultation cost. After confirmation and payment, you receive the joining link.

Personalised exercise programme and follow-up

An online consultation costs €115. The personalised four-week PhysiApp programme costs €57,50; together, the starting fee is €172,50. Each progressive four-week follow-up programme costs €57,50. An additional online consultation is billed separately at €115.

Unable to follow the programme? On request, you can extend the same programme for €10 per week, after discussing whether it is still appropriate. The extension provides only longer access to the existing schedule, without new exercises, adjustments or a consultation. Follow-up programmes and extensions do not start automatically: we discuss your request and the costs in advance.

Requesting your own physiotherapy records

You have the right to access your own records and receive a first copy. This access and first copy are free of charge.Gathering and providing existing record information for this request is not billed as a paid report.

In addition to your records, are you requesting anew, separate report or written explanation? Preparing this requires extra time and care. Separate charges may apply; we discuss these with you in advance and ask for your agreement. Your right to a free first copy of your records remains unchanged.

A reasonable fee for administrative costs may apply to additional copies. Any charges are explained in advance.Read the Dutch government information on copies of medical records.

Your treatment time is for you

During a 50-minute appointment, Boris focuses his full attention on you: your symptoms, examination, treatment and personal guidance. Detailed reports and written requests commissioned separately are prepared outside this treatment time. This requires extra time and precision and is therefore billed separately, after discussing the scope of work and costs.

Routine record keeping is part of your care and does not incur a separate charge. Access to your records and the first copy of your own records remain free of charge.

Additional support and care coordination

Support agreed in advance and offered separately outside regular treatment costs €30 per 15 minutes of time actually spent. We agree on the scope of work and maximum cost beforehand. This applies only when the work may be billed separately; necessary coordination within your regular treatment does not automatically incur an additional fee.Read the explanation and discuss your needs.

Commissioned reports and written requests

The fee for a report to a legal professional is€145. Approved authorisation from the patient is required. A written referral request, with an explanation for a doctor or specialist, costs€55. The recipient independently assesses the next step.

This work requires extra time and care and falls outside regular treatment time. We discuss the content, costs, recipient and expected turnaround time with you in advance.Read the explanation about reports and written requests.

Deposit for physiotherapy that is not reimbursed

Is your physiotherapy not reimbursed by your health insurer? When booking your appointment, we ask you for adeposit via a payment link. The amount and payment arrangements are discussed with you at booking. Your deposit is deducted from the cost of your treatment.

A few days later, you receive the invoice at your email address. To open it securely, you receive anSMS with an access code. Use this code to open the invoice. Please therefore check that we have your correct email address and mobile phone number.

Not received the email? Also check your spam folder. Missing the SMS or unable to open the invoice? Please feel free to contact us; we are happy to help.

You pay any remaining costs according to the agreed payment arrangements. For self-funded treatments, we record the treatment and payment arrangements in writing to avoid misunderstandings. The payment deadline is stated on the invoice sent to you. Unable to pay on time? Contact us before the deadline to discuss the options.

Additional treatment time, tape and preventive care

A 50-minute appointment allows more time for examination and treatment. However, a longer appointment does not automatically mean that two treatments can be claimed from your insurer. For a double appointment, one session may be claimed; you are responsible for the remaining time that is not covered. We discuss duration, reimbursement and any personal payment with you in advance, in accordance with the applicable billing and contractual rules.

Kinesiology tape can be used as an adjunct for some symptoms. Boris discusses with you whether it is appropriate. Its effect varies by person and condition. If tape or other materials are not reimbursed, we inform you of the costs beforehand and ask for your agreement.

Preventive treatments are available. These are generally self-funded. Here too, we discuss the purpose and costs in advance.

Changing or cancelling an appointment

Unable to attend? Please cancel your appointmentin writing via WhatsApp at least 24 hours before it starts. This allows us to offer the reserved time to another patient. Include your name and the date and time of your appointment.

Cancelling at the weekend:are you cancelling an appointment at the weekend, for example for Monday? A cancellation period applies ofat least 48 hours before the appointment starts. Please also send this cancellation in writing via WhatsApp. This gives us enough time to offer the vacant appointment to another patient.

For cancellations within the applicable notice period (24 hours, or 48 hours for weekend cancellations), or if you do not attend, we charge you for the reserved appointment:

  • 25-minute appointment:€57,50.
  • Double appointment of 50 minutes:€115.

A missed appointment is not claimed from your health insurer as treatment. Is there an unexpected emergency? Let us know as soon as possible so we can discuss your situation.

A comfortable start to your treatment

Much of the first appointment involves discussing your symptoms, a physical examination and recording the necessary information. We then discuss the findings and treatment plan.

  • Complete theintake formin full before your first appointment.
  • Bring valid identification, any referral and relevant medical information.
  • Arrive on time and wear comfortable clothing that allows the relevant body area to be examined properly.
  • Running late? Let us know as soon as possible. The appointment usually cannot be extended because another patient is expected afterwards.
  • Let us know promptly about changes to your contact details, insurance, medication or health.

Working together towards your recovery

Tell Boris as fully as possible about your symptoms, previous treatments, medical history and what you would like to be able to do again. Also tell him what makes you anxious or feels uncomfortable.

We adapt exercises and advice to your abilities. Try to follow the agreed plan, and discuss it if an exercise is too demanding, painful or difficult to fit into your routine. Together, we look for a manageable approach. Report new or clearly worsening symptoms promptly.

We evaluate the progress of your treatment together. Recovery varies between individuals; a particular result or a fixed number of treatments cannot be guaranteed in advance.

Respect, hygiene and a calm environment

  • We treat one another kindly and respectfully. Intimidation, discrimination and aggression are not acceptable in the practice.
  • Attend your appointment with good personal hygiene and follow the practice’s hygiene instructions. If you have symptoms that may be contagious, discuss beforehand whether your appointment can go ahead.
  • Preferably put your phone on silent during treatment.
  • Do not take photos, videos or audio recordings of staff or other patients without their consent.
  • You may ask to bring someone to your appointment. Discuss this beforehand if you need support with it.

Your rights and the treatment agreement (WGBO)

The Dutch Medical Treatment Contracts Act (WGBO) sets out your rights and duties and those of your healthcare professional. It applies to a treatment relationship even when no written agreement has been signed, regardless of who pays for the treatment.

You will receive clear explanations about your symptoms, the proposed examination and treatment, possible alternatives, and relevant consequences and risks. We decide on the approach together. You may ask questions, refuse treatment or withdraw your consent.

You have the right to privacy, confidentiality, and access to or a copy of your medical record. You may have factual errors corrected, add your own statement, or request the deletion of record information. Legal exceptions may apply to deletion. Please feel free to discuss your request with Boris.

We ask you to provide identification, give accurate information, participate in the agreed treatment to the best of your ability, and pay the agreed costs. Your statutory patient rights always apply.
